2. Information We Collect
We collect the following categories of personal data:
- Account data: name, email address, and password (hashed and never stored in plain text).
- School information: the school or institution you are affiliated with, provided during signup or linked via ClassLink SSO.
- Typing statistics: words per minute, accuracy, and session history collected through the Typing Pro feature.
- Saved majors and comparisons: majors you bookmark or add to your comparison list.
- Quiz results: responses and outcome recommendations from the major-match quiz.
- Billing data: subscription tier and payment status. Full card details are handled exclusively by Stripe - we never store raw payment card numbers on our servers.
- Resume and career data: content you submit through resume builder, LinkedIn optimizer, and career development tools.
- Usage and device data: pages visited, features used, browser type, IP address, and timestamps, collected automatically via server logs.
3. How We Use Your Information
We use the data we collect to:
- Provide and operate the MajorGuide platform, including personalized major recommendations and AI-assisted guidance.
- Deliver typing practice results and progress tracking within Typing Pro.
- Share relevant student activity data (e.g., quiz completion, typing progress, saved majors) with the school counselors and administrators linked to a student's account, in accordance with FERPA requirements (see Section 8).
- Process subscription payments and manage billing via Stripe.
- Send transactional emails such as email verification, password resets, and important account notifications.
- Improve and develop our platform through aggregated, anonymized analytics.
- Comply with legal obligations and enforce our Terms of Service.
4. AI-Generated Content - Limitations and Disclaimer
MajorGuide uses artificial intelligence to generate major suggestions, career guidance, resume assistance, interview preparation, and counselor insights. You expressly acknowledge and agree that:
- AI-generated content is provided "as is" for informational purposes only. It does not constitute professional academic, career, financial, or legal advice of any kind.
- AI models may produce outputs that are incomplete, inaccurate, outdated, or inappropriate for your specific circumstances. MajorGuide makes no warranty regarding the accuracy or reliability of AI outputs.
- Salary data, employment statistics, and career outlook information are derived from third-party sources and are presented for general reference only. Actual outcomes vary significantly based on individual circumstances, geographic location, economic conditions, and many other factors outside MajorGuide's control.
- You assume all risk associated with your reliance on AI-generated content. MajorGuide expressly disclaims all liability for any decisions made in reliance on AI outputs, including but not limited to: choice of major, career direction, financial commitments, or educational investments.
- You should always seek the counsel of qualified human professionals before making significant educational or career decisions.
5. Data Retention
We retain your personal data based on the nature of your account and our legal obligations. Our retention policy is strictly categorized into three distinct frameworks:
A. Active Students & Long-Term Use
As long as your account maintains an active status—either through an individual subscription plan or an active school site license—we retain your data unconditionally. User-generated content, such as personal notes stored within the Notebook feature, saved majors, and quiz results, are kept indefinitely while the account is active so students can reference their historical academic progress across multiple semesters and grade levels.
B. School/District Students (B2B Accounts)
For student accounts provisioned through a school district, data retention is heavily governed by the Family Educational Rights and Privacy Act (FERPA) and the specific Data Processing Agreement (DPA) executed with the district.
Once a district's contract expires or terminates, MajorGuide initiates a strict data destruction protocol. All Personally Identifiable Information (PII) and student-generated content (including Notebook entries) will be permanently and securely eradicated from our systems 60 days following contract expiration. This 60-day grace period ensures that student data is not accidentally destroyed due to administrative delays in district procurement or purchase order renewals.
C. Individual Subscribers (B2C Accounts)
If you are an individual subscriber and you cancel your premium subscription, your account will downgrade to a Free tier. We do not delete your notes or historical data upon cancellation. Your Notebook and historical records will simply be frozen or remain accessible depending on your tier features.
We will only permanently delete an individual subscriber's records if they execute a formal "Delete My Account" action, at which point all associated personal data will be completely purged from our databases within 30 days.
D. Data Export & Portability
Regardless of account type, we highly encourage students transitioning out of their school district (e.g., graduating seniors) to export their Notebooks and saved data prior to the termination of their district's access license to prevent the loss of their hard work during the required DPA data purge.
Note: Anonymized and aggregated data that cannot be linked back to any individual student may be retained indefinitely for broad analytical, security, and research purposes.
6. Third-Party Services
We share data with the following third-party providers only to the extent necessary to deliver our services:
- Stripe - payment processing and subscription management. Your payment data is governed by Stripe's Privacy Policy.
- Google OAuth - optional sign-in via Google. If you use Google sign-in, we receive your name, email address, and profile picture from Google in accordance with the permissions you grant.
- ClassLink - school SSO provider. If your school uses ClassLink, your authentication is handled through ClassLink's identity platform.
- Neon (PostgreSQL) - cloud database hosting provider. Your data is stored on encrypted, SOC 2 compliant infrastructure.
- AI API providers - AI features are powered by Groq (llama-3.3-70b and llama-4-scout models). Prompts and content you submit to AI features may be processed by these providers in accordance with their respective privacy policies.
We do not sell your personal data to any third party, ever.
7. Cookies
We use cookies and similar technologies to maintain your session, remember your preferences, and analyze how the platform is used. You can control cookie preferences through your browser settings. Disabling cookies may limit some platform functionality.
8. Student Data and FERPA
MajorGuide operates within school environments and takes student privacy seriously. For students who access the platform through a school account:
- Student activity data (quiz results, typing stats, saved majors, engagement metrics) may be visible to authorized school administrators and counselors associated with that student's school account.
- We treat this data as an "educational record" under FERPA where applicable and do not disclose it to unauthorized parties without appropriate consent or a lawful exception.
- Schools that subscribe to MajorGuide act as the data controller for their students' records, and MajorGuide acts as a service provider processing data on the school's behalf.
If you are a parent or guardian with questions about student data, please contact your school's administrator or reach us at support@majorguide.org.
9. Your Rights
Depending on your location, you may have the right to:
- Access the personal data we hold about you.
- Request correction of inaccurate data.
- Request deletion of your account and associated data.
- Object to or restrict certain processing activities.
- Receive a copy of your data in a portable format.
To exercise any of these rights, contact us at support@majorguide.org. We will respond within 30 days.
10. Security
We implement industry-standard security measures including TLS encryption for data in transit, hashed password storage (bcrypt), and strict access controls. While we take reasonable precautions, no system is completely secure. You are responsible for maintaining the confidentiality of your account credentials.
11. Children's Privacy (COPPA)
MajorsGuide serves students from Grade 1 through college, which includes children under the age of 13. We comply fully with the Children's Online Privacy Protection Act (COPPA). For students under 13:
- Access must be provisioned through a school account with verified parental or guardian consent obtained by the school.
- We do not knowingly collect personal information directly from children under 13 without school or parental authorization.
- Schools act as the responsible party for obtaining parental consent in accordance with COPPA and applicable state laws.
- Parents or guardians may contact us at support@majorguide.org to review, request deletion of, or refuse further collection of their child's personal information.
12. Limitation of Liability
To the fullest extent permitted by applicable law, MajorGuide, its owners, officers, directors, employees, contractors, agents, and affiliates shall not be liable for:
- Any academic, career, financial, or personal outcome resulting from decisions made using information, recommendations, or AI-generated content provided by MajorGuide.
- Any indirect, incidental, special, consequential, punitive, or exemplary damages, including but not limited to loss of income, loss of opportunity, loss of educational advancement, or emotional distress.
- Inaccuracies, errors, or omissions in any content, data, or recommendations provided on the platform.
- Service interruptions, data loss, or unauthorized access resulting from circumstances beyond our reasonable control.
Our total liability to you for any claim arising under this Privacy Policy or your use of the platform shall not exceed the amount you paid to MajorGuide in the 12 months preceding the claim, or $50, whichever is greater.
You assume full responsibility and liability for any and all decisions made in connection with your use of MajorGuide. This limitation of liability applies regardless of the theory of liability (contract, tort, negligence, or otherwise) and even if MajorGuide has been advised of the possibility of such damages.
13. Indemnification
You agree to indemnify, defend, and hold harmless MajorGuide and its owners, officers, employees, and agents from and against any and all claims, liabilities, damages, losses, costs, and expenses (including reasonable attorneys' fees) arising out of or related to:
- Your use of the platform and any decisions you make based on its content.
- Your violation of this Privacy Policy or our Terms of Service.
- Your violation of any applicable law or regulation.
- Any content you submit to the platform.
14. Changes to This Policy

When we make material changes, we will notify you by updating the "Last updated" date at the top of this page and, where appropriate, by sending an email to your registered address. Continued use of the platform after changes take effect constitutes acceptance of the updated policy.
